Office Admin & HR Executive
Role Overview
Our India operation is one of the fastest-growing parts of One Retail Group, making this an exciting opportunity to join the business at a pivotal stage of our global growth.
We are looking for a highly organised, proactive and people-focused Office Admin & HR Executive to become the operational backbone of our India office. This is a varied, hands-on role that combines office management, HR administration and executive support to ensure our growing team has everything they need to perform at their best.
Working closely with the India Office Lead and partnering with colleagues across our UK and global teams, you will take ownership of the day-to-day running of the office while supporting the entire employee lifecycle, from recruitment and onboarding through to payroll, engagement, performance processes and office operations.
This role is ideal for someone who thrives in a fast-paced environment, enjoys solving problems, takes ownership without being asked, and is happy switching between strategic priorities and practical day-to-day tasks. No two days are the same, and every task you complete will help create a professional, efficient and enjoyable workplace for our growing India team.
Key Responsibilities
Office Operations & Executive Support
· Take ownership of the smooth day-to-day running of the India office, ensuring a professional, organised and productive working environment.
· Act as the primary support for the India Office Lead, managing calendars, coordinating meetings, supporting priorities and assisting with operational and administrative activities.
· Manage relationships with our co-working space provider and other external suppliers, ensuring office facilities operate efficiently and all payments are processed on time.
· Coordinate business travel, visitor management, meeting logistics and general office administration.
· Ensure the office remains fully stocked with supplies, equipment and day-to-day essentials, creating a welcoming environment for employees and visitors.
People Operations & HR Administration
· Coordinate recruitment activities, including preparing job descriptions, liaising with recruitment partners, scheduling interviews and supporting hiring managers throughout the recruitment process.
· Deliver a seamless onboarding and offboarding experience, ensuring new starters have everything they need from day one.
· Act as the first point of contact for general HR queries, providing guidance and escalating matters where appropriate.
· Maintain accurate and confidential employee records, HR systems and documentation.
· Coordinate the monthly payroll process with our third-party payroll provider, ensuring all information is accurate and submitted on time.
· Support the implementation of performance review processes and follow up on agreed development actions.
· Assist with employee engagement initiatives, surveys and activities that help create a positive and inclusive workplace.
· Work with the UK Head Office to support training and development programmes for employees.
· Assist in maintaining HR policies and procedures, ensuring compliance with local legislation and alignment with global business standards.
Technology, Facilities & Administration
· Coordinate laptop provisioning, employee IT setup and office technology requirements by working with external IT providers and internal stakeholders.
· Maintain company asset registers and ensure office equipment is tracked and managed effectively.
· Process office invoices, expense claims and purchasing requests accurately and on time.
· Organise team meetings, training sessions, company events and social activities that strengthen team engagement.
Continuous Improvement
· Identify opportunities to improve office administration, HR processes and employee experience through better systems, organisation and automation.
· Prepare reports and analyse HR and operational data to support informed decision making.
· Handle confidential information with professionalism, discretion and integrity at all times.
Ideal Candidate
· At least 3 years' experience in office administration, HR administration, operations or executive support.
· Highly organised with exceptional planning and time management skills.
· Takes ownership, works proactively and enjoys solving problems before they become issues.
· Positive, adaptable and willing to support wherever needed in a growing business.
· Excellent written and verbal English communication skills.
· Strong interpersonal skills with the ability to build trusted relationships across teams and cultures.
· Comfortable managing multiple priorities while maintaining attention to detail.
· Experience coordinating payroll administration and maintaining confidential employee records.
· Confident working with Microsoft Office and business systems, with the ability to quickly learn new technology.
· Experience coordinating with external suppliers, service providers and IT partners.
· Caring, approachable and committed to creating a positive employee experience.
· Able to work independently while knowing when to escalate issues appropriately.
· Experience working within an international or fast-growing business would be advantageous.
